Create, send, and track an invoice

End-to-end walkthrough: draft an invoice with line items, send via email, track status (draft → pending → paid → overdue), and follow up.

Hustlay's invoicing handles the full lifecycle: draft a clean, branded invoice with line items; send it as a PDF via email; track when it's opened, paid, or becomes overdue. This doc covers each step.

Create an invoice

  1. Open Invoices in the sidebar → + New invoice.
  2. Pick a customer (or create one inline — name + email is enough to start).
  3. Add line items. Each has description, quantity, and rate. Subtotals auto-calculate.
  4. Set invoice number (auto-increments from your last invoice), invoice date, and due date. Due date defaults to Net 30 — change in Settings if you use a different default.
  5. Add notes (optional — "Thanks for your business" or payment instructions).
  6. Review the PDF preview. Click Save draft.

Send the invoice

  1. From the draft, click Send.
  2. Confirm the recipient email (pulled from the customer record).
  3. Hustlay emails a clean HTML invoice + PDF attachment via Resend, from your configured sender address (defaults to invoices@hustlay.com until you set up a custom sender domain).
  4. Invoice status updates from draft to pending.

Track status

Four possible statuses:

  • draft — created, not sent. Not counted in receivables.
  • pending — sent, awaiting payment. Counted in receivables.
  • paid — payment recorded. Marked paid either manually or via a matching income transaction. Feeds project revenue.
  • overdue — past due date, not marked paid. Auto-transition when due date passes. Triggers optional follow-up reminders.

Mark as paid

  1. Open the invoice.
  2. Click Mark as paid.
  3. Confirm amount + payment date. Hustlay creates an income transaction in the project linked to the invoice.

Follow up on overdue

Overdue invoices trigger automatic reminders if you've enabled them in Settings → Invoicing:

  • Day 14: friendly check-in
  • Due date: polite reminder
  • Day +15 past due: firm follow-up

You can customize the templates or disable auto-reminders in Settings.
